Our members are public transport authorities and operators, policy decision-makers, research institutes and the public transport supply and service industry.

We are currently looking for a:

Assistant Membership, Marketing & Services - Training Team 

(position based in Istanbul-Turkey)

MAIN DUTIES

The Assistant provides organizational and administrative support to the Marketing & Membership Services Department (MMS) and to the Training Unit which is part of the MMS Department. She/he anticipates its needs as far as possible.      

RESPONSIBILITIES AS ASSISTANT TO MMS  (50%)

  1. Organizes Department Meetings, preparation minutes and follow up of actions defined

  2. Reference person in department in charge of Order Forms

  3. Prepares and edits correspondence, communications, presentations and other documents 

  4. Manages and maintains directors’ schedules, appointments and travel arrangements;

  5. Monitors, screens, responds to and distributes incoming communications;

  6. Is in charge of phone calls and correspondence (typing of minutes, etc.) in English, including minor translations ;

  7. Provides assistance in administration and coordinates some  projects of department (minor);

  8. Provides assistance for ‘contact management’ and is responsible for the database’s update;

  9. Replaces colleagues providing similar services;

RESPONSIBILITIES AS ASSISTANT TO TRAINING UNIT (50%)

  1. Set up of event in our internal database system

  2. Registration of our participants and invoice management/follow up

  3. Material preparation: Folders, evaluation sheets, PPTs, etc.

  4. Evaluation data Compilation

  5. On site: Room booking, room preparation, Catering & evening reception, presentation upload, smooth running of sessions, video checks, sound checks

  6. Creation and sending of Flexmail (mass mailing)

  7. Updating the website of the training programmes

  8. Support to participants (registration system, VISA letters etc.)

  9. Reimbursement of trainers travel

  10. Hotel bookings and travel arrangements

  11. Any other logistics related tasks

The person will be required to fulfill his/her responsibilities and tasks according to the RISE values of UITP.

PROFILE

  • Experience in a similar function
  • Excellent organizational skills
  • Good computer skills (MS Office advanced user/ Internet savvy)
  • Excellent knowledge of English and Turkish. French and Spanish would be a real asset
  • Problem-solving attitude and sense of initiative
  • Ability to work autonomously and to manage priorities
  • A real motivation for supporting and assisting managers
