Registration fees do not include flights and accommodation. |

As soon as your registration is received, an invoice will be issued. A confirmation letter as well as your participation number will be sent out after receipt of the invoiced registration fees. If the payment is made after the deadline the latest registration fee will be applicable and the difference will be invoiced. If the payment is made just before the Congress, a proof of payment will be required on the spot. Delegates without a proof of payment will not be allowed to participate in the Congress. |

Delegates are requested to bring the letter of confirmation to the Congress and present it at the registration counter as proof of their registration. |

Only fully completed registration forms will be accepted. |

UITP members whose membership fee is not duly paid will not benefit from the preferential UITP member rate. |

The one-day delegates cannot change the day they have chosen. |

Substitution and Cancellation: |

If you cannot attend the Congress, we are happy to accept a substitute colleague at any time. Requests for substitutions will only be accepted by e-mail or fax addressed to Deborah Wéry (deborah.wery@uitp.org, fax.: +32 2 660 10 72) indicating the new and former names. |

If you have to cancel your registration, 50% (less applicable bank charges) will be refunded provided that your cancellation is received in writing before 15 April 2009. Please note that no deduction can be made after this date and the registration fee is still due, even in case of no show. |

The notification will indicate a bank account to which a possible refund may be remitted and refunds will only be issued after the termination of the Congress. |

No-shows and one-day registrations will not qualify for a refund of fees. |

Credit will not be given for unattended events or early termination of attendance. |

These rules are also applicable for group delegates. |

All lunch and reception tickets are not refundable. |

Delegates who wish to receive an invitation letter for their VISA application are required to first pay their participation fee and send a copy of their passport to UITP to the attention of Deborah Wéry (Fax: +32 2 660 10 72). Requests for letters of invitations have to be received by 30 April 2009 at the latest. Should the delegate not be granted his/her VISA, the participation fee will be reimbursed (less bank charges) providing a written proof from your Embassy or Consulate. This proof has to be sent to UITP to the attention of Deborah Wéry (Fax: +32 2 660 10 72) by 27 May 2009 at the latest. Please note that the person requesting the visa must pay all charges relating to the mailing of these documents.

All parts of the programme are subject to compulsory registration. The Organiser, UITP, reserves the right to make amendments to the programme or any related activity at its discretion. |

All delegates are requested to wear their badge visibly at all times. |

Accompanying persons are requested to register and wear their badge to enter the events they are allowed to attend as stated in the in the summary table. |

Please note that all rates quoted are inclusive of Value Added Tax (VAT) at a rate of 20% which is the prevailing rate on 15 October 2008. |
